Tuesday’s Tip – Importing Master Lists (Intermediate)

Importing Master Lists

Tuesday's Tips provide brief how-to's to help you learn to use the Legacy Family Tree software with new tricks and techniques.

Importing Master Lists (Intermediate)

Did you know you can import Master Lists from one Legacy file to another? This will save you oodles of data entry time. You can import everything from Locations to Events to Sources and more.

Open the Legacy file that you want to import INTO and then open any Master List, for example, View > Master List > Source. Now click Options > Import Lists

Chose the Family File you want to import FROM by using the Browse button. Select the Lists that you want to import. Click Import Lists and NOT Import Defaults.

Easy peasy! There is no reason for you to re-enter all of this information when it is readily available for you to import from file to file. You can even restrict which locations and sources are imported by tagging the pertinent ones in your source file first.

Legacy has many time saving features built in so that you can spend more time doing actual research.

The problem is that FTM uses gedcom codes in a different way than any other program does. They use them in a very non-standard way. Legacy has compensated for that in many areas but in some areas there just isn’t a way to fix what FTM is doing. So what legacy does instead, is it will allow you to send that information either to the notes field or to an event where you can go through later and see if it’s important information or not. In some cases it is only a bunch of codes that you don’t need and they can just be deleted. One thing you do need to know though is if you are using a version of FTM earlier than FTM 2012 we will have to convert your file for you. Prior to 2012 FTM embedded photographs instead of linking to them. All modern programs including FTM now link. We have a way of pulling those embedded photographs out of your file and then linking to them. If you are using an FTM program prior to 2012 please send an email to support@legacyfamilytree.com and let us know. We will send you instructions on how to get your backup file to us and we will convert your file.

I tried your software about 3 years ago but could not get an error free transfer from Family Tree Maker to your software. Now I want to try again – I have over 14,000 individuals – with most having multiple media (birth, marriage, death etc)
Has your software improved the transfer process?

This is something that you would normally do when you start a new file. You don’t want to start from scratch with your master list so you import them from one of your other files. For example, if you use a lot of the same sources over and over again you don’t want to have to enter them again.

Not sure why you would want to do this. I assume when you merge 2 family files, everything is merged?

Importing will not replace anything that is existing but if the item is already there (identical) you won’t get a second copy.

Importing only tagged items aside, will the imported list completely replace the existing list? Or is some kind of merge algorithm used to determine whether or not a item is added, replaced or deleted? If an item has been modified, is that taken into account?
